How it works

Five phases. Software first, people on site only at the top tier.

Every engagement is contracted, consented and evidenced — never a stunt. Here is exactly what happens, in order, and where we draw the lines.

Phase 01

Brief and connect

Week 0 · 2 sessions

We sit with the leadership team and separate what you know from what you assume, then connect the platform read-only to the systems that hold the answers. Scope, boundaries and confidentiality terms are agreed in writing before any data is read.

  • Objectives and the three questions the engagement must answer
  • Read-only integrations into telephony, CRM, helpdesk, ATS and exports
  • Named client sponsor and a written data scope
  • Mutual NDA and an agreed ethical boundary

Phase 02

Overview and AI analysis

Weeks 1–2 · continuous

The AI layer reads the whole record rather than a sample — every call, ticket, pipeline note and system timestamp in scope — while leadership watches the live overview build. Findings only make the report if the pattern survives the numbers.

  • Speech-to-text and scoring on 100% of calls in scope
  • Ticket clustering, pipeline modelling and process mining
  • Impact estimates with the assumptions stated in the open
  • Live scorecards per function in the client portal

Phase 03

Field Cover embed — top tier, optional

1–3 weeks · real shifts

Only at Field Cover, and only with your written consent: a trained operator works the job. Openings, closings, peak, the dead hour. They queue with customers, answer the phone, use the systems your staff use, and log friction as it happens — evidence the data alone cannot give you.

  • Structured field log: timings, handoffs, workarounds, walk-aways
  • Shift coverage across weekday, weekend and peak trading
  • Systems used as a real employee, with real permissions
  • Zero covert recording of individuals — observation and notes only

Phase 04

The findings session

One session · report handed over

Founders and managers in one room. Findings ranked by cost, evidence attached, no individual named. Then the 30/60/90 plan with an owner against every action. You keep the report, and the client portal keeps it live so progress is tracked rather than remembered.

  • Ranked findings with severity and impact estimate
  • Operational scorecard by function
  • 30/60/90 action plan with named owners
  • Board-ready summary at Field Cover

Phase 05

Train, fix and re-score

Ongoing

Findings route into live online training for the teams the evidence points at, and into build sprints where a fix needs engineering. The same work is scored again afterwards, so improvement is proven rather than claimed.

  • Live online tracks built from your own evidence
  • Manager clinics and coaching against real scorecards
  • Optional AI build sprints for automations and dashboards
  • Verification pass on every previous finding

Ethics and consent

What we will never do.

This is an audit of systems, not surveillance of people. The distinction is contractual, not aspirational.

  • No covert recording of individuals

We do not record audio or video of staff or customers. Our evidence is structured observation, timings, and your own operational data.

  • No named individuals in the report

Findings describe roles, systems and processes. If a person is the problem, that is a management conversation we hand you privately, not a line in a document.

  • No performance monitoring product

We are not a tool for building a case against employees. Engagements framed that way are declined.

  • No data leaves the engagement

Everything sits under mutual NDA. Your data is used for your audit and nothing else — never to train third-party models.
